ICI Project Coordinator – Bolton, Ontario

We are looking for an ICI Project Coordinator for our client in Bolton.
The Project Coordinator will be responsible for the distribution and coordination of all project documentation issued throughout the life of a project. He/she will be responsible to arrange for the site office and temporary facilities required for the project prior to commencement. He/she is also required to assist in the tender process by performing quantity take-offs as directed by the Project Manager.

Duties and Responsibilities

Estimate the project
• Establish the quantity of specific materials required to facilitate a competitive bid and profitable construction of a given project as directed by the project manager
• Ensure all quantities are provided within the timelines requested
• Assist the project manager in analyzing bid submissions during and after the tender period for accuracy and comprehensiveness

Setup project temporary facilities 
• Review and become familiar with the specific layout and temporary facility requirements of a project with the project team once awarded
• Coordinate delivery and set up of temporary facilities as needed (ie site office trailer, furniture, temporary fencing, washroom facilities, safety and company signage, etc.)

Initiate and procure sub-contractor submissions
• Procure shop drawings and samples from sub-contractors and suppliers within the timeframe outlined in the purchase order agreement
• Review submissions for accuracy and answer as many highlighted questions as possible before issuing to the consultant team
• Outline any potential conflict or interference between trade disciplines for consultant clarification and coordinate 
• Stamp, file and log shop drawings and samples in accordance with company tracking procedures
• Distribute shop drawings and samples to the consultant team for review
• Procure reviewed shop drawings and samples back from the consultant team and distribute to the appropriate sub-contractors and site staff. Present any consultant comments to the project manager for further review and coordination
• Review and establish close-out submission requirements for each subcontractor and distribute to the Project Administrator

Manage project revisions (SI’s, CCN’s, CN’s, CD’s, RN’s)
• Review, become familiar with the details and distribute all project revisions to the applicable sub-contractors
• Distribute hard copies of all revisions immediately to site
• File and log all revisions in accordance with company tracking procedures
• Procure pricing (if applicable) from sub-contractors and suppliers related to each revision in a timely manner. Organize and confirm all associated costs are included before presenting final values to the project manager for review
• Following the project managers review and approval, draft a change order request and issue via email to the project administrator (copy the project manager) for issuance. Print a copy of the email and associated backup for the project administrator and file in their tray
• Coordinate between the consultant team and the sub-contractors during the cost review period until a change order is issued

Record minutes of meetings 
• Record detailed notes of all pertinent discussions held during client and sub-contractor meetings
• Record attendance of meetings
• Draft and email the meeting minutes for the project managers review within 48 hours of the meeting having taken place
• Email the final draft of meeting minutes to the project administrator for distribution
• Print and provide multiple copies of the latest meeting minutes along with all associated logs including the most recent appendix A prior to each meeting

Exigences et expériences

Education
• University or college degree in a related field

Experience:
• 3+ years' experience as a Project coordinator in ICI construction, commercial retail

Required license or certification:
• G Class Driver's Licence

Knowledge, skills and abilities
• Proficient in the use of computers including excel, word and outlook
• Proficient in performing quantity take-offs
• Comfortable reading blueprints
• Familiar with building code requirements. Specifically the OBC
• Excellent written and verbal skills
• Strong construction knowledge and experience with estimating, project coordination and management

• Decision Making: Assess situations to determine the importance, urgency and risks, and make clear decisions which are timely and in the best interests of the organization

Working Conditions:
• Primarily work from the office however will be required to attend the site(s) on a bi-weekly basis at minimum. Periodically out of town projects will require overnight accommodations (only GTA location)
•Working hours: from 7AM to 5PM Monday to Friday, however extended hours and weekends are often required to meet project deadlines
